ADMINISTRATIVE ASSISTANT

We are a 15-year old business brokerage firm that specializes in the sale of established companies as well as helping franchise companies develop their system. We are in need of a high quality administrative assistant with the following qualities and who can perform the following duties.

Key Duties and Qualities of an Administrative Assistant

An Administrative Assistant provides support to the office in numerous ways. The person is responsible for ensuring that the office is functioning properly while being the assistant to many people. Must be able to have a good knowledge of a variety of different procedures, software, as well as able to multitask and how to handle stressful situations. Be able to work for multiple people.

Have Knowledge of Office Machinery, including computers, copier, scanners, phone system, fax machine, postage machine. This includes how to clear a paper jam, replace paper and toner cartridges, replace backup tapes. Making sure that the office has all the necessary office supplies, kitchen supplies and building supplies.

Knowledge of Software -Microsoft Office, Word, Excel, PowerPoint, Outlook and other email programs. Salesforce knowledge is a plus and if not knowledgeable must be able to learn new computer programs easily.

Have Professional Appearance including dress professionally, professional demeanor and attitude.

Personality- Professional and accountable. High values, interested in personal growth, meticulous, always checking in, making sure the assigned task is understood. Also is willing & capable of taking the ball & running with it.

Stays current with the “to do” list. Always in ready mode with note book and pen in hand. Anticipates needs. Is capable of working independently but enjoys teamwork as well.

Communication Skills – Possesses excellent interpersonal skills as well as analytical skills. Proper phone etiquette, clear & concise verbal communication, appropriate and well-presented written communication skills.

Good phone etiquette includes speaking with courtesy. Must be able to answer phone professionally and have a pleasant manner when speaking on the phone. Be able to provide the caller with information needed, by directing the calls to appropriate party or by taking a message or transferring the call to voicemail.

Verbal communication skills include being able to recall information accurately and being able to transmit this information to others in a way it is able to be understood. This includes listening well. Greet visitors and determine what their needs are. Communicate any issues about work responsibilities, co-workers, or other issues to partners.

Written communication skills include moderate to advanced typing skills, and word processing skills. Good writing skills include writing clearly and concisely with correct grammar & spelling, editing and checking writing. Attend meetings and record minutes.

Organizational Skills - Have excellent organizational skills and be a coordinator of resources. Have a well-organized desktop and office space. Be able to find important papers or other items quickly and easily without going through piles of things. Able to create organizational flow charts, systems as well as necessary reports for the office to operate smoothly. Concerned about proper filing of papers both in the file cabinet and electronically. Detailed oriented.

Internet Skills - Able to enter information properly & in a timely fashion onto various websites keeping the information updated and current. Attention to detail to insure that the information is presented property. Must be able to stay organized within these different websites.

Time management skills and efficiency. Because of the fast paced environment, person needs to keep up without letting things fall through the cracks, without complaining. Be excited about developing systems and offering input and feedback. Complete tasks within allotted or reasonable time frame. Be able to prioritize tasks well. Be protective of our time, schedule and interests. Not a clock watcher… is goal oriented…
